Job Description
As an Administrative Assistant in our public accounting firm, you will be part of our professional, small-team environment to support our client base, which includes individuals, small businesses, and corporations, with their accounting needs. Your day-to-day work:
- Assist in managing office communications, including answering phone calls and emails.
- Greeting clients in a professional and friendly work environment.
- Organizing client information to be used by accounting staff.
- Update and maintain our client contact system.
- Handling incoming and outgoing client documentation.
- Preparing, drafting, and formatting letters and reports.
- Maintain and organize filing systems for documents and records.
- Prepare and edit documents, reports, and correspondence as needed.
- Schedule appointments and meetings, and coordinate with internal staff.
- Process and manage incoming and outgoing mail and packages.
- Assist with basic bookkeeping tasks, including data entry and invoice processing.
- Coordinate and maintain inventory of office supplies.
- Maintain confidentiality and handle sensitive information with discretion.
- Perform other administrative duties as assigned that are in accordance with typical duties in this role.
Qualifications
- 1+ years of experience in an office environment would be an asset as would experience in a professional service firm.
- Diploma or Degree in Business Administration.
- Advanced skills with Office365 and Adobe products. Outlook, Excel, PowerPoint, and Acrobat.
- Proficiency to quickly learn software and adopt new technology.
- Good judgment and analytical skills with a strong focus on attention to detail.
- Proven ability to deal with sensitive materials with a high degree of tact and discretion.
- Excellent client service and interpersonal skills.
- Excellent command of verbal and written English, with proven ability to communicate clearly and professionally.
- Strong project management skills with a proven track record with time management, meeting deadlines, organization, and ownership of assigned tasks.
- Excellent judgment and strong problem-solving skills
